GUIDELINES, TERMS & CONDITIONS AND FESTIVAL PARTICIPATION CRITERIA
ARTIST APPLICATION FORM
- Please send 2 x jpegs of your work to [email protected], on submission of your registration form. Include approx sizes and number of artworks you wish to exhibit. (We do understand that many of the artworks will not have been completed on submission of the form, but general information will suffice)
- If you are an artist and are exhibiting in your own home, please complete both an artist and venue registration form
- An important element of the festival is the opportunity for visitors to engage with the artist, discuss the work and extend their understanding of processes and techniques. We therefore ask artists to be available in the venues throughout the festival for the times stipulated in the brochure or make arrangements to have a replacement stand in
- Artists are REQUIRED to pay 25% commission on sales
- Commission is paid to the 3 Harbours Arts Festival for sales, commissions taken, goods/artworks reserved that are made from the 28th May to 5th June 2010
- If you do not sell any work, then no commission is paid
- Visitor figures and sales figures should be made available to the 3HAF representative by 30th JUNE 2010. This information is essential for our statistical records and aids our efforts to obtain future funding
- Commission must be paid by 30th SEPTEMBER 2010
- Payment may be made by cheque or cash to 3 Harbours Arts Festival and sent to : Gillian Hart, 227 High Street, Prestonpans, EH32 9BE
- Monies raised from commission payments fund the ongoing development of the 3HAF. We are a voluntary organisation
VENUE APPLICATION FORM
- Apart from artists exhibiting in their own homes or studios, the 3HAF will allocate venues to artists
- We will endeavor to allocate artists to appropriate venues as requested
- Each artist has full responsibility to contact the vendor to make arrangements to examine the venue in advance and make sure it is suitable for their requirements
MUSIC AND EVENTS APPLICATION FORM
- Please try to submit 2 jpegs or photographs of you/band/performers to yvonne@3harbours.co.uk if possible, on submission of your registration form. These will be used for promotional purposes
- Musicians/groups/ performers are required to pay 25% from ticket sales
- Commission is paid to the 3HAF for events (this covers music and performance) taking place from the 28th May to the 5th June 2010
- If you do not sell any tickets or your event is free, then no commission is paid
- Number of tickets sold and commission due to the 3HAF should be paid by the 30th September 2010
- Payment may be made by cheque or cash to 3 Harbours Arts Festival and sent to : Gillian Hart, 227 High Street, Prestonpans, EH32 9BE
- It is the band/group/performers responsibility to promote their own event over and above the listing in the brochure - see marketing for guidlelines
- The 3HAF cannot guarantee a specific venue but we will endeavour to allocate you an appropriate venue. Please ensure that you provide us with as much information on your band/event as possible
- Each musician/group/performer has full responsibility to examine the venue in advance - as soon as possible after you receive your confirmation letter - to discuss proposals.
TERMS AND CONDITIONS
- The 3HAF reserves the right to make any changes as necessary or reject applications if appropriate
- The 3HAF reserves the right to refuse any artist from previous years that have not paid their commission
- There are NO application/registration fees
- The production of the brochure and other marketing will rely on the information provided by the artist/vendor/performer/musician in the application form. All information placed in the brochure is free of charge so please ensure that it is correct
- The 3HAF accepts no liability for any errors or omissions in its advertising and promotional material
- The 3HAF accepts no liability for damage to or loss of work or other equipment either on display or in transit. It is essential that artists take out their own insurance to cover all risks associated with their participation in the festival
- All applications will be carefully considered by the Management Committee
- The 3HAF aims to maintain the highest standard of work both by new exhibitors and those returning to the festival
- The 3HAF is committed to supporting and encouraging local artists
- The committee works within the limited availability of venues each year
- The Management Committee are : Chair - Andrew Crummy, Treasurer - Gillian Hart, Secretary - Eddie Anderson, Cockenzie and Port Seton - Yvonne Murphy, Music - John Murphy
- Data Protection - all application details will be stored on our database and used for assessing applications incorporating relevant details in the brochure, the website and for regular newsletters about festival activities or associated arts related activities working in conjunction with the Prestoungrange Arts Festival and Redzartz
VENUE ALLOCATION
- Apart from artists exhibiting in their own homes or studios, artists cannot always be guaranteed a specific venue, size of space or a joint exhibitor. We will, however, endeavour to allocate artists to appropriate venues as requested
- Each artist has full responsibility to examine the venue in advance and make sure that it is suitable
- Please contact your venue host well in advance - as soon as possible after you receive your confirmation letter - to discuss proposals
VENUE HOSTS
- All the venue hosts have very generously agreed to let the 3HAF and exhibiting artists/bands/performers use their homes/businesses during the 10 days or part thereof. Every artist is expected to respond by respecting this and taking steps to ensure that there is no damage or disturbance to the venue during the 3HAF
- It is suggested that display systems are discussed with the host prior to hanging
- It is suggested that equipment requirements are discussed with the host prior to hanging
- There is no direct payment to the venue host for the use of the space. We therefore suggest a gift from each artist to show appreciation for the opportunity provided.
- Any wilful damage caused by artists will be charged to the artist
- No hanging equipment will be provided however we will provide advice on how to display work and possibly help source equipment should this be requested
